Privacy Policy
Version 2026-08-23. Pool Report Confirm, operated by Genesis Investment Hub LLC, is used by pool service businesses to document visits and share reports with property owners. This page describes what we actually collect and why, in plain language.
Who is responsible for what
We are responsible for the account data of the businesses that sign up. The business using the service is responsible for the customer data it uploads — names, addresses, emails, pool details, notes and photos — including having the right to collect it, keeping it accurate, and answering its own customers' requests about it. We process that data on the business's behalf.
What we store
- Account data: name, email address, password credentials held by our auth provider.
- Company data: business name, logo, phone, reply-to email, website, review link.
- Customer and pool records you create, including address and contact details.
- Service visit data: water readings, checklist items, chemicals entered, notes, photos, timestamps, and which team member performed the visit.
- Report data: the generated report, its public link token, delivery status, and whether and when the link was opened.
- Legal acceptance: the date, time and document versions accepted when the account was created.
- Billing data: plan, subscription status and identifiers from Stripe. Card numbers are never sent to or stored by us.
- Product analytics events (for example "visit completed", "report sent") tied to a company and user, used to operate and improve the service.
- Basic technical logs and error reports needed to keep the service running.
Transactional email
Reports are sent by email through Resend to the recipient address you enter, from our sending domain with your business as the reply-to. Delivery status and errors are recorded so you can retry. Email is not a secure channel and delivery cannot be guaranteed.
Payments
Subscriptions are processed by Stripe. Stripe collects and stores payment details directly under its own privacy policy; we receive only the subscription state and identifiers needed to apply your plan.
AI processing
When you use note polishing, the text of that note is sent to a third-party language model provider to improve wording, then returned to you. It is editorial assistance only and is never used to produce readings or chemical advice. Do not paste sensitive personal information into notes you polish.
Public report links
A report you send is reachable through a long, unguessable link. Anyone holding that link can view the report, so treat it as semi-public and send it only to the intended recipient.
Service providers
We use hosted infrastructure for the database, file storage and authentication, Resend for email delivery, Stripe for payments, and AI model providers for note polishing. They process data only to provide those functions to us. We do not sell personal data or use it for advertising.
Tenant isolation and security
Each company's data is isolated at the database level with row-level security, so users can only read and write data for companies they are an active member of. Photos are stored in private buckets served through short-lived signed links. We use reasonable technical and organisational safeguards, but no service can be guaranteed completely secure. We hold no formal security certification and make no compliance claims we have not earned.
Retention and deletion
We keep account, visit and report data for as long as the account exists, because reports are a record of work performed. You can delete customers, pools and draft visits in the app; completed visits and sent reports are kept as an audit record. To delete an entire account and its data, email support@poolreportconfirm.com from the address on the account. Some records, such as billing history, may be retained where law requires.
Your requests
Account holders can ask for access to, correction of, or deletion of their account data. Requests from a business's own customers should go to that business first; we will assist the business in responding.
Children
The service is for businesses and is not directed to children.
